Minutes of Sept. 18, 2013

The meeting was held at St. John’s Catholic Church and was called to order at 9:50am by Chair, Sarah Thurow. The delicious potluck brunch, which was served after the Wednesday morning Mass and before the meeting, was enjoyed by all.


Present were: Sarah Thurow, Chair; Carol Hart, Vice Chair; Helene Harrington-Collins & Gary Dietel, Co-chairs of the Finance Committee; Father Rodel de Mesa, Parish Priest; Rolando Rodriquez, Dusty Harrington-Collins,  Marvin and Sharon Zuber, and Nancy and Bill O’Donnell.


Opening Prayer: Grace was lead by Father Rodel.


Minutes: The minutes of the meeting on July 24th, 2013 were accepted as presented.


Old Business:

  1. Safety: Carol mentioned that we are still investigating items to be included when we make our grant request to the Archdiocese in February.  Currently the items on the list are push button openers for the handicapped, at the front and back doors of the church, a safety light at the back door and a hand rail for the handicapped ramp out back.
  2. Pamphlets:  Dusty indicated the lady that made up the Mass schedule pamphlets, which were distributed along the south coast several years ago, is currently not well and the update project is on hold until she is better. 


  1. Religious Education & Youth Outreach: Rolando distributed a list of liturgical and secular happenings for the balance of the year.  Friday, November 1 is a Holy Day of Obligation, the feast of All Saints, and Father will celebrate Mass here ... time to be announced.
  2. Budget & Finance: Helene handed out a balance sheet (see attached copy on church bulletin board). Gary said he was happy that we are in the black. Father's travel expense, which showed a dramatic increase, was due to having been submitted for a three month period instead of one month.  He will try to do better in his reporting. Utility expenses have risen due to the rate increases in water and electric by the utility companies.  The property insurance bill was previously paid in installments but because we had the necessary funds available we paid the entire bill which will result in a rebate.
  3. Women’s Guild/ Altar Society: Carol said they have a balance of $6,338 among their various accounts. She pointed out that their largest fundraiser, the Annual Rummage Sale, generated approximately $1,800 in revenue to the Guild. 

  4. Publicity: We will publish the upcoming Blessing of the Pets announcement, being held on Wednesday, October 2, at 9:30am in the front parking lot at church, in both the Port Orford News and the Port Orford Beacon.
  5. Liturgy: Rolando mentioned that we need more volunteers to set up the altar for Mass.
  6. Maintenance: Marvin said he would be having a clean-up soon.  Gary is checking for vent covers around the outside of the church.  The bench installation will still be done but discussion was had about exactly where its placement should be.  Once installed we will get a plaque showing that it has been generously donated by Eric and Sherry Johnson.
  7. Community Outreach: Nancy now has the St. John's cell phone again.  


Pastor’s Report:

  • New Parishioners Welcome Packet: Father Rodel suggested that we put together a welcome packet for all new parishioners to showcase what St. John's is all about, along with a new parishioner registration form.  The Women's Guild will tackle this project.
  • Audit: Father mentioned that the Archdiocese had recently preformed an audit of Holy Trinity and St. John's.  He does not have the results currently but will advise us when he does.


New Business:

  • Organ: Gary mentioned that our organ is in need or repair and the only Oregon based service, Keyboard Engineering, is in Portland.  We will check to see the cost involved and report.  We will look into a possible grant from the Friends for this expense.
  • October - month of the Rosary: We will publish a date during the month for a community gathering at St. John's to say the Rosary.
  • Votive Candle Display: Discussion was had about obtaining a votive candle display, in memory of deceased loved ones, for the church.  The main concern is the possibility of fire.  Several suggestions were made and the matter is under review.

Next PAC meeting: will be held on Wednesday, November 20th at approximately 10am. Everyone agreed we should have another potluck brunch before the meeting.


Closing Blessing:  The closing blessing was lead by Father Rodel.


The meeting was adjourned at approximately 10:40am.
